Why go paperless?

"Going Paperless" is more than just "Going Green." It's a commitment to yourself, your family, your employees, your shareholders, your customers, and everyone else your business touches, to save time, save cost, and be more productive .
The paper manufacturing process contributes to polluting the environment and its destructive to the ecosystem. So long as there is a need for paper, there will always be a supply. If we do not reduce our demand for paper, the environment could face catastrophe. To prevent this from happening is in your and my hands. If you switch to a paperless office or even a less-paper office by using document management software, your paper consumption will fall drastically. Your Company will have contributed to the environment in a constructive way.
You already pay your bills online and get electronic statements, but there are even more ways you can stop killing innocent trees and wasting time and money handling paper. It's time we go paperless.
Traditional offices have a paper-based filing system, which may include filing cabinets, folders, shelves and drawing cabinets, all of which require maintenance, equipment, and considerable space.
In contrast, a paperless office could only have a desk, chair and computer, with a modest amount of local or network storage. All the information would be stored in digital form.
Once a Computer data is printed on paper it become out-of-sync with computer database updates.
A paperless office is a work environment in which the use of paper is eliminated or significantly reduce.  Going paperless can save you money, boost productivity, save space, making document and information sharing easier, keep personal information more secure and contribute to the environment.

Electronic Filing Systems versus Paper Based Record Storage Systems ?

The average filing cabinet takes up approximately 6 square feet. Look at the number of filing cabinets
you have and see if that’s the way you want to utilize your cost per square foot lease space.
Add in the cost of filing cabinets at an average price of R1800 and that “free” records storage system doesn’t look so free anymore.

Why back-up ?

Of course, once you start digitizing important paperwork, you've got to have a good backup system in case your hard drive fails or computer crashes. While fires, flood, and coffee spills can just as easily happen to paper, computer disasters are always possible.
